The short version: we only collect what you choose to send us, we use it to reply to you and work with you, we never sell it, and you can ask us to see or delete it at any time by emailing [email protected].
1. Who we are
Kivo Media ("Kivo Media", "we", "us") is a digital marketing studio based in Dubai, United Arab Emirates. This policy explains how we handle personal information collected through kivomedia.ae and when you contact us by email, WhatsApp or social media.

2. What we collect
Information you give us. When you fill in our enquiry form we collect your name, business name, email address, WhatsApp number, the services you are interested in, and anything you write in your message. If you email us, message us on WhatsApp or contact us on Instagram, we receive whatever you choose to share there.
Information collected automatically. We use Cloudflare Web Analytics to understand how the site is used, for example how many people visit, which pages they view, their general country, browser and device type, and how fast pages load. It does not use cookies, does not track you across other websites and does not identify you personally.
Like all websites, our hosting provider also processes basic technical data such as your IP address to deliver the site securely and protect it from abuse.
3. How we use it
- To reply to your enquiry and send you a proposal or quote.
- To deliver our services if you become a client, and to manage invoicing and communication.
- To improve our website and understand which content is useful.
- To keep the website secure and prevent spam and misuse.
- To meet our legal, tax and accounting obligations.
We will only send you marketing messages if you have asked for them, and every message will let you opt out.
4. Our legal basis
We process your information with your consent (for example when you submit the form or message us), because it is needed to take steps toward or perform a contract with you, because we have a legitimate interest in running and protecting our business, or where the law requires it. We follow the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data.
5. Who we share it with
We never sell or rent your personal information. We only share it with trusted service providers that help us run our business, and only as much as they need:
- FormSubmit - delivers website form messages to our inbox.
- Zoho Mail - our business email provider.
- Cloudflare - website hosting, security and privacy-friendly analytics.
- WhatsApp (Meta) - if you choose to message us there.
We may also disclose information if required by law or a valid request from a UAE authority.
6. International transfers
Some of these providers store or process data outside the UAE. When that happens we rely on providers that apply appropriate safeguards to protect your information, as permitted under UAE law.
7. How long we keep it
We keep enquiries for up to 24 months so we can follow up and refer back to past conversations, unless you ask us to delete them sooner. If you become a client, we keep project and billing records for as long as needed for the work and as required by UAE law. After that, we delete or anonymise the information.
8. Your rights
You can ask us at any time to:
- Tell you what personal information we hold about you and send you a copy.
- Correct information that is wrong or out of date.
- Delete your information.
- Stop or limit how we use it, or withdraw your consent.

9. Security
Our website is served over an encrypted (HTTPS) connection and our accounts are protected with strong passwords and access controls. No system is completely secure, but we take reasonable steps to protect your information and limit who can access it.
10. Children
Our services are for businesses. We do not knowingly collect personal information from anyone under 18.
11. Links to other sites
Our site links to services such as WhatsApp and Instagram. Their own privacy policies apply when you use them.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
